Leadership Conference Exhibitor Registration

Exhibitor Information

Each conference will have limited sponsor availability. Sponsorships will be awarded on a first come first serve basis. Corporate sponsors will receive premium exhibitor locations and will be assigned first.

Conference Sponsor Options

Conference Sponsor $1,500
Double sized booth, company logo on the front of conference materials, logo and website link on website event page, signage displayed in a prominent location at the event, 2 sets of meal tickets, booth electricity, and logo in pre-conference blast email(s) on conference brochure.

Conference Patron $1,000
Standard booth, company logo on the conference materials, logo and website link on website event page, and signage displayed in a prominent location at the event.

Vendor Reception Sponsor    $1,000.00
Company logo on conference materials, logo and website link on website event page, and signage displayed in prominent locations at the conference reception. Recognition of sponsorship during event. More than one company can help sponsor this event as this is not an exclusive sponsorship. (Does Not Include Exhibit Booth)

Conference Break Sponsor $500
Company Logo and Name on signage located in prominent locations at the break that is sponsored. Recognition of sponsorship in conference attendee packets and during conference session. (Does Not Include Vendor Booth)

Conference Vendor Options

Conference Vendor $700
Standard Booth space is 6x10 or 8x10 feet (depending on facility availability) with pipe and draping. Booth space includes one table and two chairs.

Vehicle Space $800
Vehicle spaces are located outside the conference facility. These spaces are limited and will be assigned on a first come first serve basis. A standard booth is included in the vendor area.

Additional Table(s) $60 each
Electrical Outlet(s) $90 each
Additional Meal Tickets $35 each

Promotional Material Inserted in Participant Packets $250
Promotional Material received from exhibitor will be placed in all conference participant packets that will be distributed to all conference participants at conference registration/check-in. 

Exhibitor Schedule

Vendor Set Up: Monday, March 26, 2018  1:00 PM – 4:00 PM

Please check in at the GAEMS Conference Registration Booth located at the entrance of the Legacy Lodge conference area.  Vendor registration will be open 1:00 PM – 4:00 PM on Monday, March 26, 2018. When checking in, you will receive your booth assignment location, name tag, meal tickets and conference packet. A member from GAEMS will assist in directing you to your assigned booth area and will make sure you have everything you need. The Exhibit Area will be located in a secure room that will be locked when the vendor area is not open.

Additional Information

Standard booths are 6x10 or 8x10 feet with pipe and draping and are arranged inline with other exhibitors. Premium booth exhibitor spaces are located at door entry ways, corners, or island areas. Premium space will be assigned according to corporate/conference sponsorship level. Vehicle Booth space will be located inside the vendor area and will have additional requirements as set forth by each facility. Electrical outlets or additional tables are not included in the booth rate. If required, electrical outlets or additional tables may be purchased, but are limited to site availability. Extension cords, shipping and all other ancillary costs are the responsibility of the exhibitor. 

One (1) set of conference meal tickets will be provided to each booth exhibitor. Additional meal tickets at $35 per meal may be purchased when submitting your online registration.

A late fee of $200.00 per booth will be assessed for applications received less than 15 days prior to the event. A 50% deposit is due with the contract, with the remaining balance due 5 days prior to the event. All Payments are Non-Refundable. 

GAEMS will not be responsible for equipment or goods that are left unattended during the conference. We will make every effort to secure the area that you occupy after conference hours. If you are outside the area that can not be secured (locked) you will be responsible for your supplies and equipment.
